Speaker information

For the purposes of the AIEC program, the term ‘speaker’ applies to any presenter or co-presenter, poster presenter, café session facilitator, session chair, panellist or co-panellist, session moderator, session discussant, pre-conference facilitator or moderator who is participating at AIEC.

Please ensure you read and understand the speaker terms and conditions related to submitting a proposal, chairing and speaking at AIEC 2016. Ensure that all your co-speakers have also read and understood these terms and conditions.

Speaker profile

Speaker bios will be published on online program and app.

All confirmed chairs and speakers must be registered users in the X-CD system. Please ensure your speaker profile is submitted by 8 July 2017. If you need to make changes to your speaker profile after this date, please contact the conference manager.

Speaker bios may be edited according to AIEC style guidelines.

Speaker registration

All speakers must register to attend the conference. There is an early bird registration fee for speakers ($805) who register by by 19 August 2016.

Submitting a proposal or creating an X-CD profile does not automatically register a chair or speaker for the conference.

Speakers who are not registered by 19 August may be withdrawn from the program.

Program schedule and changes

The program is now available online. The schedule is subject to change in the weeks leading up to the conference. Before you book your travel and accommodation, make sure that you have checked the latest schedule. When you arrive at the venue, please check the program for latest updates.

Please contact the conference manager if you need to advise of changes or withdraw from a session.

Audiovisual and room set-up

Audiovisual and wi-fi will be available at the conference, although the wi-fi is not suitable for use by speakers during their presentations. Technical support will be available in the session rooms and at the Speakers’ Preparation Room.

PowerPoint and Prezi

If you are planning on using powerpoint, All PowerPoint and Prezi files must be set to 16:9 ratio.

You can use the AIEC PowerPoint template provided by the organiser. The use of this template is optional. You may prefer to use your organisation’s branded template.

Speakers' Preparation Room

The Speakers' Preparation Room is a room available to conference speakers. Here you can submit your PowerPoint files, put the final touches to your session slides, etc.

These guidelines provide information about key tasks and responsibilities for chairs who are chairing panels, presentations, thematic sessions, posters or cafe sessions.

Filming and photography

Some sessions will be filmed or webcasted (after the conference). The official AIEC video and photography crew will enter the Poster Zone and conference rooms while sessions are in progress. Raw footage will be taken. Photos or video footage will be used for conference-related communications and the promotion of future conferences.

AIEC proceedings

PowerPoint presentations, posters and/or abstracts will be published on the conference website at the conclusion of the conference. If you do not wish for your presentation or poster to be published, please notify the conference manager in writing before the end of the conference. In this instance, we strongly encourage modified presentations to be provided with sensitive or commercial in confidence information removed.
